1. Who we are
busytask Pro is run by busytask LLC, a Maryland limited liability company, based in Baltimore, Maryland. In these terms, “busytask”, “we” and “us” mean that company.
You can reach us at [email protected].
These terms are for busytask Pro, the software at https://pro.busytask.com. They are separate from the terms for busytask’s website packages and from the terms for busytask AI. If you also buy those, their own terms apply to them.
2. Who these terms are for
“The business” means the company or person that signs up for busytask Pro. “You” means the business and every person who signs in to it. A person who signs up on behalf of a business confirms that they are allowed to accept these terms for it.
busytask Pro is for businesses, not for personal or household use. You must be at least 18 years old to create an account.
By creating an account, accepting an invitation, or using busytask Pro, you agree to these terms and to our Privacy Policy at https://busytask.com/privacy/ (the busytask Pro section).
3. What busytask Pro is
busytask Pro is web software that small home-service and trades businesses use to run their day. It includes:
- customers, their contacts, service addresses and notes, and importing customers from a spreadsheet;
- jobs, visits, a shared schedule, and visit work on a phone (a clock, checklists, photos and notes), which also works on a weak signal and catches up when the signal is back;
- quotes and invoices, sent by email with a link and a PDF, and payments, recorded by hand or taken online;
- an online booking page the business can share or put on its own website;
- emails to the business’s customers: confirmations, reminders, “on my way”, quotes, invoices, follow-ups and receipts;
- reports on money in, money owed and quotes approved;
- an optional assistant (section 11) and an optional QuickBooks Online connection (section 12).
busytask Pro is a web app. It can be added to a phone’s home screen from the browser. There is no app in the App Store or Google Play. busytask Pro is a tool. It does not give legal, tax, accounting or business advice. The business decides how it runs its work, prices, taxes and customer relationships.
4. Accounts, owners and roles
Signing up
Anyone can start a free trial at https://pro.busytask.com/sign-up with the business’s name, their own name and email, a code we email to them, and a password, or with “Continue with Google” in place of the code and the password. The person who signs up becomes the business’s first Owner. Some names can’t be used at sign-up, for example names close to banks, payment or delivery companies, or busytask itself. If your real business has such a name, email us and we can set it up by hand.
Roles
The business adds people by invitation. Each person has one role:
- Owner: everything, including the plan and billing, getting paid online, QuickBooks, every record, and changing or removing anyone on the team, other owners too. Only an Owner can make another Owner.
- Admin: runs the business day to day: customers, schedule, jobs, quotes, invoices, requests, reports, the team and the settings, but not the plan, billing, getting paid online or QuickBooks. Admins can void invoices and payments.
- Office: customers, scheduling, jobs, quotes, invoices, recording payments, and booking requests.
- Technician: only their own visits and the customers on them. Technicians don’t see quotes or invoices, or a job’s prices unless an Owner turns that on.
The business decides who gets which role, and is responsible for everything done by the people it lets sign in. An Owner can change a person’s role or remove them from the team at any time.
Keeping your account safe
- Keep your password to yourself. Each person signs in with their own account; don’t share one.
- You can also sign in with “Continue with Google”. It links your Google account to your busytask account only when Google says your email address is verified, and your password keeps working. If two-step sign-in is on, we still ask for its code after Google.
- Two-step sign-in (a code from an authenticator app) is optional for everyone, and we strongly recommend it for Owners. It is required for an Owner who connects QuickBooks.
- A sign-in lasts at most 30 days, then you sign in again.
- Tell us at once at [email protected] if you think someone else has used your account.
If you lose your phone and your backup codes, the business’s Owner contacts us and we check who is asking before we reset two-step sign-in.
5. The free trial
A new business gets a 14-day free trial with every feature, for up to 5 people, with 1 GB of photo storage, 3 spreadsheet imports and up to 20 customer emails a day. No card is needed. An Owner can choose a plan at any time during the trial: the card is entered then, and it is first charged when the trial ends, not before. When the trial ends without a plan, busytask Pro becomes read only (section 7) until an Owner chooses a plan. We don’t delete businesses for not choosing a plan today (section 7).
We may end or shorten a trial that is being used to send spam or to break these terms (section 13). To keep robots out, signing up may ask you to pass a quick check (Cloudflare Turnstile), refuses temporary email addresses, and allows a few new trials a day from one connection or email domain.
6. Plans, prices and billing
Plans
Plans, their prices and what each one includes are shown on our plan page. The price shown on the day you subscribe is the one that applies, until we change it as described below.
Everyone on the team counts toward a plan’s number of people, technicians too, and so does an invitation until it is accepted or canceled. Plans are billed monthly, in US dollars.
How we bill
- Plans are paid by card through Stripe, on busytask’s own Stripe account. We never see or store full card numbers. Card statements show “BUSYTASK PRO”.
- Your plan renews every month on the same day and the card on file is charged then, until the plan is canceled.
- Upgrading takes effect at once, and the difference for the rest of the month is charged then.
- Downgrading takes effect at the end of the month you have paid for, and only if everyone on the team fits the smaller plan.
- Only an Owner can choose, change or cancel the plan, in Settings, Plan and billing. “Card and invoices” opens Stripe’s page to change the card or see past invoices.
- If an Owner’s sign-in email also has an active busytask AI subscription with us, your plan is 10% off from your next bill. The discount is for the plan only. It ends from your next bill after that busytask AI subscription ends or the emails no longer match; that isn’t a price change under “Price changes” below.
Failed payments, price changes, taxes and refunds
- Failed payments. If a payment fails, the business keeps working for 7 days while the card is retried. After 7 days without payment, busytask Pro becomes read only until the payment goes through. We email the Owners when a payment fails. We don’t delete businesses for not paying today (section 7).
- Price changes. We may change our prices. A new price never changes what you pay without notice: we email the Owners first, and the new price starts at your first renewal that is at least 30 days after that email. If you don’t want the new price, you can cancel before then.
- Taxes. Our prices do not include sales tax or other taxes. We don’t charge sales tax on plans today. If the law requires us to charge tax, we will add it to your invoice and say so.
- Refunds. Plans are paid monthly in advance. When you cancel, the plan runs to the end of the month you have paid for, and we don’t refund the rest of that month. If we charged you by mistake, for example twice, we refund it.
- Free businesses. We may give some businesses busytask Pro for free, for example during our pilot. A free business can be moved to a paid plan only after we tell its Owners at least 30 days before, so they have time to choose a plan.
7. Read only, and deleting unpaid accounts
busytask Pro becomes read only when a trial ends without a plan, when a payment is more than 7 days late, or when a plan has ended. While it is read only:
- everyone can still sign in and see everything, but nothing can be added or changed;
- the assistant, texting and emails to customers stop, the booking page is closed, and reminders and follow-up emails stop;
- exports and downloads of the business’s data, such as quote and invoice PDFs, are paused. They are available whenever the business isn’t read only, during the free trial too;
- customers can still open their quotes and invoices, and still pay online.
Choosing a plan, or paying what is owed, turns everything back on at once, downloads included.
We don’t delete businesses for not paying today: a business that stays read only keeps its data, read only, until a plan is chosen or what is owed is paid. Before we ever start deleting unpaid businesses, we will change these terms and tell the Owners as section 21 says. It would then work like this:
- The last day is 30 days after the business became read only (after a plan ends, 30 days after it ends), and never less than 14 days after the day we first set it.
- We email every Owner 14 days, 7 days and 1 day before that day, the app shows the date to everyone on the team, and we email the Owners once it is done.
- Deleting removes, permanently and all at once, the business, its customers, jobs, quotes, invoices, photos and files, and the accounts of people who belonged only to it (section 8). It can’t be undone.
- Paying or choosing a plan before the date stops it. Free businesses (section 6) are never deleted this way.
8. The business’s data
It belongs to the business
The records the business and its team put in busytask Pro, or that its customers send through it (customers, jobs, visits, photos, quotes, invoices, payments, booking requests, notes, and anything else), are the business’s data. We don’t own it, we don’t sell it, and we don’t use it for advertising.
What the business lets us do with it
The business gives us permission to store, copy, process, show and send its data only as needed to run busytask Pro for it: to show it to the people the business lets sign in, to send the emails the business asks us to send, to take payments and send records to QuickBooks when the business turns those on, to keep backups, to keep the service safe, and to help when the business asks for support. When the business turns on the assistant, this includes sending what it needs to the assistant’s providers (section 11). We may also count and measure how the service is used, without sharing any business’s data, to keep it running and improve it.
For the business’s customer records, we act on the business’s behalf and on its instructions, as described in the Privacy Policy.
The business is responsible for what it collects
The business is responsible for having the right to collect, keep and use the information it puts in busytask Pro, and for telling its own customers how it uses their information where the law requires it. Don’t put in information we don’t need to run your work, such as card numbers, bank account numbers, Social Security numbers, health information or passwords, in notes, custom fields or photos.
Getting a copy
While the business isn’t read only (section 7), an Owner can ask us for a copy of the business’s data at [email protected]. We check that it is an Owner asking, then, within 10 business days, send a file with the business’s records as spreadsheet (CSV) files, a list of its team (names, emails and roles, never passwords), and its job photos, sent to you privately (never through a file-sharing service). It doesn’t include what is private to each person in the assistant (conversations, recordings and drafts), or sign-in secrets. Quotes and invoices can also be downloaded as PDFs in the app while the business isn’t read only. A self-serve export in the app is planned for later. A business in its free trial can get a copy and download PDFs like any other.
Deleting it
An Owner can ask us to delete the business at [email protected]. We call the phone number on the business’s account to check it is really an Owner asking, and we make sure they have the copy they want first. A paid plan must be canceled first. Deleting the business removes, all at once, every record of the business, its photos and recordings, its activity log, its QuickBooks connection, and the accounts of people who belonged only to that business. We don’t delete unpaid or ended businesses ourselves today (section 7).
Deleting one customer
A business can ask us to delete one of its customers for good, for example when that customer asks it to. We check that it is an Owner asking, and do it within 30 days of the business asking: the customer’s record, their jobs, visits, quotes, photos, booking requests and the emails sent to them. Invoices and payments are the business’s tax records, so we keep a deleted customer’s invoices and payments, and a record with only the name and billing address printed on them.
What stays after deleting the business
Some things stay after deletion:
- Our backups keep a copy until they age out: up to 20 days for nightly backups, 2 days for hourly ones, and up to 8 weeks for full-server snapshots. We don’t restore a deleted business from them unless its Owner asks within that time.
- Our own billing records of the plan’s invoices stay in our Stripe account, as tax and accounting records. Nothing about its customers or its work.
- The business’s own Stripe account and anything already sent to its QuickBooks company stay with the business, at Stripe and at Intuit.
9. Emails to the business’s customers
busytask Pro sends emails to the business’s customers on the business’s behalf: visit confirmations and reminders, “on my way”, quotes, invoices, follow-ups, receipts and answers to booking requests. These emails come from the business’s name “via busytask”, from a busytask address, and replies go to the business.
- The business decides who it emails and is responsible for having the right to email them. These are service emails about the business’s own work with that customer. Don’t use busytask Pro to send marketing, newsletters or bulk email.
- Each business can send up to a set number of customer emails in any 24 hours: 20 during a free trial, 200 on Solo, 500 on Crew, 750 on Team and 1,000 on Company. Receipts for payments and “we got your request” emails don’t count; invitations do.
- If an address bounces, the business can’t email it again until the address is fixed or we unblock it.
- If a customer marks an email as spam, the business can’t email that address again unless the customer asks for their emails back and we unblock it.
- If a business gets spam complaints from several different people in a short time, we look at what it has been sending. We may pause its customer emails while we sort it out with the Owner (section 13).
10. Online payments (Stripe)
A business can let its customers pay quotes and invoices online. Online payments go through the business’s own Stripe account, connected to busytask Pro through Stripe Connect.
- Connecting is done by an Owner on Stripe’s own pages. Stripe decides whether to accept the business and may ask it for information. The business’s Stripe account is between the business and Stripe, under Stripe’s terms, including the Stripe Connected Account Agreement and the Stripe Services Agreement (https://stripe.com/legal).
- The money goes to the business’s Stripe account, not to us. The business pays Stripe’s fees on its own Stripe bill. busytask takes no fee on payments today. If that changes, we will tell the Owners at least 30 days before.
- Customers can pay by card, and by bank transfer or Klarna if the business turns them on and Stripe allows them.
- Refunds and disputes are handled on the business’s Stripe account, between the business, its customer and Stripe. A refund started in busytask Pro is sent to Stripe for the business.
- The business can disconnect its Stripe account at any time (not while a bank transfer is still on its way). It keeps its Stripe account, its money and its history at Stripe.
- We are not a bank or a payment processor, and we are not responsible for Stripe’s service, its decisions or its payouts.
11. The assistant (optional)
busytask Pro includes an optional assistant. Where it is offered, the business decides whether to use it, and we may stop offering it to one business or to all.
- What it does: it answers questions from the business’s own records, turns voice notes and uploaded call recordings into text, and writes drafts (a new customer, a request, a reminder, a draft invoice).
- Drafts only: the assistant never changes a record, sends anything to a customer, takes or refunds a payment, deletes anything, or changes settings by itself. Nothing it proposes happens until a person on the team approves it, and an approved invoice is still a draft until someone sends it.
- Its answers can be wrong. It is an AI tool and it can misunderstand, mishear or make mistakes. Check what it says and every draft before you rely on it or approve it. You are responsible for what you approve.
- Recording calls: if you upload a recording of a phone call, you must have the right to record it. Some states require the consent of everyone on the call. Make sure you are allowed to record calls where you and the other person are. busytask does not record calls itself.
- Who uses it: the business’s Owners and Admins decide whether it is on and who can use it. It is off for technicians unless an Owner or an Admin turns it on for them.
- Allowance: each plan includes a number of recording minutes and messages a month. When the month’s allowance is used up, the assistant says so and stops until the next month. Nothing is charged beyond your plan.
- Providers: the assistant uses Anthropic for the AI model and Deepgram for speech to text, as described in the Privacy Policy.
12. QuickBooks Online (optional)
- Connecting. An Owner of a business may connect busytask Pro to the business’s own QuickBooks Online company. Connecting needs two-step sign-in on the Owner’s account, and happens on Intuit’s own sign-in page. By connecting, the business confirms it has the right to connect that company, and authorizes busytask to create and update records in it: customers, products and services, invoices and payments, and to void invoices and payments that were voided in busytask. busytask doesn’t delete records in QuickBooks. Only US companies that keep their books in US dollars can be connected. QuickBooks is available to the businesses we have turned it on for.
- One way. Records go from busytask to QuickBooks. Changes made in QuickBooks don’t come back to busytask, and a later change in busytask can update the same record in QuickBooks. Only invoices and payments dated on or after the start date the Owner chose at setup are sent. Refunds are not sent; busytask lists them so the business can enter them in QuickBooks.
- Importing from QuickBooks. An Owner may bring customers and products from QuickBooks into busytask. Nothing is imported until the Owner approves the preview. The business should check what came in. Undo is available for records nobody has changed or used since.
- Your books are yours. The business is responsible for its books and its taxes, and should have them reviewed by its bookkeeper or accountant. busytask is not an accountant or a tax adviser. The tax amounts busytask sends are the ones the business set up in busytask.
- When things don’t go. QuickBooks can delay or refuse a record. busytask shows what didn’t go and why, and tries again where it can. We can’t promise that every record reaches QuickBooks, or when. The business can pause sending at any time. We may pause the connection for a business to protect its data or the service, and we will say why.
- Intuit’s service. QuickBooks is run by Intuit, under the business’s own agreement with Intuit. We don’t control QuickBooks and don’t promise it will be available or keep working the same way. If Intuit changes or stops what busytask relies on, we may change or stop the QuickBooks connection. The connection is provided “as is”, within the limits of these terms. busytask charges nothing extra for it today; the business’s QuickBooks subscription is between the business and Intuit.
- Your data. We use what we read from QuickBooks only to run the connection for that business, as described in our Privacy Policy. We don’t sell it, use it for advertising, or use it to train AI models.
- Disconnecting. The business can disconnect at any time, in busytask (Settings, QuickBooks) or in QuickBooks. busytask then stops sending, deletes its sign-in to QuickBooks and ends it at Intuit. What was already sent stays in QuickBooks.
busytask is not affiliated with or endorsed by Intuit. QuickBooks is a registered trademark of Intuit Inc.
13. Acceptable use
You agree not to use busytask Pro to:
- break any law, including laws about email, privacy, recording calls, consumer protection and taxes;
- send spam, marketing or bulk email, or email people who haven’t dealt with the business;
- pretend to be someone else, or to be a bank, a payment company, a delivery company, a government agency or busytask, or trick people into giving payment details, passwords or other information (phishing);
- put the business’s booking page, quotes or invoices to any use other than the business’s real work;
- upload anything illegal, harmful or that you don’t have the right to share, including malware;
- try to get into another business’s data, another person’s account, or parts of the service you aren’t allowed to use;
- test, scan or attack the service’s security, or get around its limits (people, storage, emails, the assistant’s allowance, rate limits or spam checks);
- copy, scrape or resell the service, or use it to build a competing product;
- overload or disrupt the service, or use automated tools against it except the features we provide.
If you find a security problem, please tell us at [email protected] and don’t use it.
14. Our service, changes and support
We work to keep busytask Pro running, safe and backed up, but we can’t promise it will always be available or free of errors. We may need to take it down for maintenance, usually at quiet times, and things outside our control (our hosting, Cloudflare, Stripe, Intuit, email delivery, internet outages) can affect it.
We improve busytask Pro all the time. We may add, change or remove features. If we remove a feature the business relies on, or change something important, we will tell the Owners ahead of time when we reasonably can.
Support is by email at [email protected], on business days, usually within one business day.
15. Suspension
We may pause some or all of a business’s access, without notice when needed, if:
- it is used for spam, phishing or fraud, or to harm others;
- it puts the service, other businesses or their customers at risk;
- we are required to by law;
- a payment is overdue (busytask Pro becomes read only, section 7).
When we can, we tell the Owners first, say why, and give them a chance to fix it. Pausing doesn’t delete any data.
16. Ending
By the business
An Owner can cancel the plan at any time in Settings, Plan and billing. The plan runs to the end of the month already paid for, then busytask Pro becomes read only until a plan is chosen again (section 7). An Owner can ask us to delete the business at any time (section 8).
By us
We may end these terms for a business, with 30 days’ notice by email to its Owners, for any reason, or at once if it seriously or repeatedly breaks these terms. If we end them without the business breaking them, we refund any part of the month it has paid for and not used.
If we ever stop offering busytask Pro, we will tell the Owners at least 60 days before, and give them time to get a copy of their data.
What happens to the data
After a plan ends, the business’s data stays in busytask Pro, read only. We don’t delete it for not paying today (section 7). Free businesses keep their data.
Sections 8 (deleting and what stays), 17, 18, 19 and 20 still apply after these terms end.
17. No warranty
busytask Pro is provided “as is” and “as available”. To the extent the law allows, we make no promises beyond those in these terms, and we disclaim all implied warranties, including that it is fit for a particular purpose, that it will meet every need of your business, and that it is free of errors. This includes the assistant’s answers and drafts, emails reaching their recipients, payments through Stripe, and records reaching QuickBooks. You are responsible for checking your quotes, invoices, taxes and books.
18. Limit of liability
To the extent the law allows:
- We are not liable for lost profits, lost revenue, lost business, lost data, or any indirect, special or consequential damages, even if we were told they could happen.
- Our total liability for all claims about busytask Pro is no more than the fees the business paid us for busytask Pro in the 12 months before the event that caused the claim. For a business on a free trial or a free plan, it is no more than $100.
These limits don’t apply where the law doesn’t allow them.
19. Indemnity
The business will defend and cover busytask against claims, losses and costs (including reasonable lawyers’ fees) brought by others because of: the data the business puts in busytask Pro or collects through it; emails it sends through busytask Pro; the business’s dealings with its customers, Stripe or Intuit; recordings it uploads; or the business or its team breaking these terms or the law.
20. Law and disputes
These terms are governed by the laws of the State of Maryland, without regard to its conflict of law rules. Any dispute will be heard only in the state courts in Baltimore County, Maryland, or in the United States District Court for the District of Maryland, and both sides agree to those courts. Before going to court, please email us at [email protected] and give us 30 days to try to sort it out.
21. Changes to these terms
We may change these terms. We will post the new version at https://busytask.com/crm-terms/ with its date. For a change that matters, we will email the Owners of every business at least 30 days before it takes effect. If the business doesn’t agree, it can cancel before then. Using busytask Pro after the change takes effect means accepting the new terms.
22. General
- These terms and the Privacy Policy are the whole agreement between the business and us about busytask Pro.
- If part of these terms can’t be enforced, the rest still applies.
- If we don’t enforce a part of these terms right away, we can still enforce it later.
- The business can’t transfer these terms to someone else without our written agreement. We may transfer them to a company that takes over busytask Pro, and we will tell the Owners.
- Neither side is responsible for delays caused by things outside its reasonable control.
- We send notices to the Owners’ sign-in email addresses. You send notices to [email protected].
23. Contact
